How Everest Convention Centre collects, uses and protects your personal information.
Who we are
Everest Convention Centre (“Everest”, “we”, “us”) is a banquet and event venue at 250 National Rd, Chatham, Ontario N7M 5J5, and home of The Gurkha Lounge restaurant. This policy explains how we handle personal information collected through this website, by phone, by email and in person, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
We collect only what you choose to give us and what we need to plan your event:
- Enquiries: your name, email address, phone number, event type, event date, approximate guest count and any message you send.
- Planning and bookings: details needed to plan and run your event, such as menu choices, dietary needs and allergies, guest numbers, timings, and billing contact details.
- Website data: basic technical information your browser sends, such as IP address, browser and device type, and pages visited. Our host keeps this in server logs for security and to keep the site running.
We do not knowingly collect personal information from children under 13.
How we use it
- To reply to your enquiry and check availability
- To arrange tours and tastings
- To prepare quotes, plan your event and serve your guests safely, including allergy and dietary needs
- To contact you about your booking
- To keep our website secure and working well
- To meet our legal, tax and accounting obligations
We do not sell or rent your personal information.
Consent
By sending us an enquiry you consent to us using your details to reply and to plan your event. We only send promotional emails if you have agreed to receive them, in line with Canada’s Anti-Spam Legislation (CASL), and every promotional email includes a way to unsubscribe. You can withdraw your consent at any time, though we may then be unable to provide some services.
Who we share it with
We share personal information only with service providers who help us run our business, and only what they need:
- our website host (Hostinger), which stores the website and server logs
- our website and marketing team (Workbench Media), which maintains this site and receives website enquiries on our behalf so they reach us quickly
- email and payment providers we use to communicate with you and process payments
- event partners you ask us to coordinate with, such as your planner, photographer or entertainment
These providers may store information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may also disclose information where required or permitted by law.
Cookies and third-party links
This website does not use advertising or tracking cookies. It uses performance tools that speed up page loading, which may preload pages you are likely to visit next. Links to Google Maps, Instagram and Facebook take you to those services, which have their own privacy policies. If we add analytics or advertising tools in future, we will update this policy first.
Storage and security
We keep personal information only as long as we need it for the purposes above or as required by law, for example tax records. We protect it with reasonable physical, organisational and technical safeguards, including secure (HTTPS) connections on this website and access limited to the people who need it.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, or ask us to stop contacting you. Write to us using the details below and we will respond within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
