The quick answer

In 2026, renting a banquet hall in Ontario typically costs about $500 to $3,000+ for the day, depending on the venue and city. Community and municipal halls can run as low as $150 to $600 a day, mid-range private halls roughly $1,000 to $2,500, and many full-service venues charge a per-person package or a food-and-beverage minimum instead of a flat rental.

  • Community / municipal hall: roughly $150–$600 per day.
  • Mid-range private hall: roughly $1,000–$2,500 per day.
  • Full-service venue: often a per-person package or minimum spend, not a flat fee.

How much does a banquet hall cost to rent?

There is a wide spread because ‘banquet hall’ covers everything from a bare community room to a full-service event centre. The ranges below are based on published Ontario venue listings and municipal rate sheets for 2026. They are approximate and exclude HST.

Ontario banquet hall rental, per day, 2026 (approximate)

Community / municipal~$150–600
Mid-range private~$1,000–2,500
Full-service / premium~$2,500–6,000+

Flat fee, per person, or minimum spend?

Halls charge in one of three ways, and knowing which you are looking at prevents sticker shock.

  1. Flat rental fee. You pay a set amount for the room and bring or arrange catering separately. Common at community and bare-room halls.
  2. Per-person package. One price per guest covers the room, catering, and often bar and setup. Common at full-service venues.
  3. Minimum spend. The room is ‘free’ but you commit to a minimum food-and-beverage total. Common in hotels and larger halls.

A $2,000 flat fee and a $90-per-person package can cost the same at 100 guests once you add catering – so always compare the all-in total for your guest count.

What is included in a banquet hall rental?

Inclusions vary enormously. Ask exactly what the fee covers before you compare:

  • Tables, chairs, linens, and basic place settings
  • Setup and teardown, and the hours you actually have the room
  • Kitchen access or in-house catering
  • Licensed bar service
  • Parking, a coordinator, AV, and cleaning
TipWatch the clock. Some rentals cover only a fixed block of hours, with setup, decorating, and teardown billed on top. Confirm your total access time – and whether you can decorate the day before – in writing.

What drives the rental price?

  • City. Toronto and the GTA cost more than most of Southwestern Ontario.
  • Day and season. Saturday evenings and December are the priciest; weekdays and winter are cheapest.
  • Size and services. A larger room and in-house catering, bar, and decor raise the number – but often replace separate rentals.
  • What you add. AV, extra hours, upgraded linens, and premium bar packages all stack up.

How can you lower the cost?

  1. Book a weekday or off-season date. Many venues discount these heavily.
  2. Choose a full-service venue if you would otherwise rent tables, linens, catering, and bar separately.
  3. Right-size the room to your real guest count.
  4. Get all-in quotes and compare totals, not headline fees.

Quick answers

Is it cheaper to rent a hall or use a full-service venue?

It depends on what you would otherwise pay for separately. Once you add catering, bar, tables, and linens, a full-service per-person package often costs about the same as a bare rental – with far less to coordinate.

How much is a banquet hall per hour in Ontario?

Community and municipal halls often charge roughly $30 to $55 an hour; private halls are more likely to quote a daily fee or a per-person package than an hourly rate.

Does the rental include tables and chairs?

Usually at a banquet hall, yes – but bare event or loft spaces may not. Always confirm what furniture and linens are included.

Are there hidden fees?

Common add-ons include HST, a service charge or gratuity, cleaning, security, AV, and overtime hours. Ask for a line-by-line quote.

Do I pay a deposit to book?

Yes. Expect a signed contract and a deposit to hold the date, with the balance due before or on the event day. Read the cancellation terms.

When is renting a hall cheapest?

Weekdays, Sundays, and the winter months. Saturday evenings in peak season and December command the highest prices.
