Shortlist venues that fit your guest count with a dance floor, include the catering you want and have your date open. Tour your top three, ask the 12 questions below, and get every inclusion in writing before you sign.
- Book 10 to 14 months ahead for a peak Saturday
- Winter and weekday dates are the easiest way to save
- All-inclusive halls remove the most planning stress
Start with three numbers
Before you look at a single venue, agree on these three numbers with your partner. They will rule out more venues than anything else.
- Your guest count. Write your full list, then a realistic “yes” number. Most couples see 80 to 90% of invited guests attend.
- Your total budget. Venue and catering usually take the biggest share, so know your ceiling before you fall in love with a room.
- Your season and day. A Saturday in June and a Friday in February are very different conversations, in price and availability.
12 questions to ask on every tour
Bring this list on your phone. The answers tell you more than the photos ever will.
- How many guests fit with a dance floor? Capacity numbers are often quoted without one.
- Is catering in-house? If yes, ask about a tasting. If not, ask which caterers you can use.
- What is included in the price? Tables, chairs, linens, décor, staff, setup and cleanup.
- What costs extra? Service charges, cake cutting, bar, security and overtime.
- Can the ceremony and reception happen here? One venue saves time, transport and stress.
- What happens if the weather turns? Any outdoor plan needs an indoor backup.
- Who runs the day? Ask if you get one coordinator and whether you meet them first.
- Which dates are open? And are weekdays or winter dates cheaper?
- Can we bring our own vendors? DJ, photographer, decorator and cake.
- How late can the party go? And what does the bar service look like?
- Is it accessible? Think about grandparents: parking, entrances and washrooms.
- What is the payment schedule? Deposit, instalments and cancellation terms.
Venue types compared
Most Chatham-Kent couples choose between four kinds of venue. Here is how they stack up.
| Venue type | Best for | Watch out for |
|---|---|---|
| All-inclusive banquet hall | Big guest lists, one-stop planning, in-house food | Make sure the room can be sized down for smaller weddings |
| Barn or rustic venue | Country style, outdoor ceremonies | Heating, washrooms and bringing in every vendor yourself |
| Hotel ballroom | Guests who need rooms on site | Packages that limit your menu and vendors |
| Restaurant buyout | Intimate weddings under 60 | Limited dance floor and short evenings |
Where the budget usually goes
Every wedding is different, but this is the rough shape of most Ontario wedding budgets. Use it as a starting point, not a rule.
Travel times for your guests
Chatham sits in the middle of Southwestern Ontario, which makes it easy for guests from both directions.
Red flags on a venue tour
- They cannot tell you exactly what is included.
- The capacity they quote has no dance floor in it.
- You will not meet the person who runs your day.
- There is no plan for bad weather.
- Pressure to sign on the spot.
Quick answers
How far ahead should we book a wedding venue in Chatham-Kent?
For a Saturday between May and October, 10 to 14 months is safest. Winter dates and weekdays often have openings much closer to the day.
How many venues should we tour?
Three is the sweet spot. Shortlist online, tour your top three, then decide within a week while the details are fresh.
Is a winter wedding cheaper?
Usually, yes. November to March is the quiet season for most venues, so rates and availability are at their best.
